Meeting facilities are available to business people for a range of needs – from a professional environment to host a presentation for 10 or fewer people, to conference centers for gatherings of hundreds of people.

The first step is determining where to look for meeting facilities is to consider your needs. How many people are coming? What technical support will you need (LCD projector, sound system, etc.)? Will a meal be served? Will the guests of the meeting also need overnight accommodations? What image would you like to project at the meeting?

Once you have determined your needs, you might want to consider hiring a professional meeting planner. Also known as an event planner, these are professionals who are skilled at handling all the details of an event. They are likely to be very familiar with the meeting facilities in your area and might have established relationships with vendors that would save you time and money.

If you will need access on an ongoing basis to conference rooms for small meetings (about 20 or fewer people), consider a business center or executive suite, where you would have access to a variety of amenities including conference rooms.

For larger gatherings, hotel conference rooms and conference centers might be the best option. These are particularly ideal if the meeting attendees also will be requiring overnight accommodations. Some restaurants also have rooms you can use for meetings, assuming you also will be serving a meal.
