Copy machine dealers run a two-part business. First, they sell copiers to businesses, and then, they provide service and repairs on previously sold copiers. Though not all dealers provide service (and you can go to someone other than the dealer for service), most companies will offer service contracts to buyers.

A copy machine is a decision involving thousands of dollars, so it is worth your time to compare prices and dealers. Some dealers will offer you reduced prices if you trade in your old copy machine or if you purchase one of their old units, and you will usually have the option to buy or lease the copier. In any case, try to get a feel for whether the price the dealer offers is negotiable and for what exactly is included in that price.

You especially want to determine what service is included in the price you pay for the copier machine. Before you purchase a copy machine, make sure to ask questions regarding copier maintenance. How often does this kind of machine break down? How quickly will the dealer respond to resolve a problem? What is required from your office before a repair is made? Are repairs and yearly maintenance included? Most of this information will be included in a service contract, but you will likely want to ask these sorts of questions regardless. Read over your service contract carefully, so that you know exactly what to do in the event that you need service.

Ask other companies what dealers they have used in the past and whether they had good or bad experiences with those dealers. Remember that the copy machine dealer is there to serve you, so look for dealers that go the extra mile in service—whether that means giving you a good price or offering extra training or anything else that emphasizes their commitment to you.
