What are some tips for effective Strategic Planning?

First of all it’s important to get away. There is nothing like a change of scenery to spark the creative juices and renew minds. Also, allow time for group interaction, usually in the form of a group activity, the point of which is to build a sense of teamwork and create an environment where laughter and conversation flow freely. Once outside the walls of the office, minds begin to think in different paradigms. A positive element of “groupthink” takes over. When this begins to occur, honest and open dialogue is not far behind. This is the type of environment protocol to begin the discussion for asking, “Where should we head next?”

Eliminate distractions. In order to begin the discussions, the committee needs to be free from daily interruptions, including the phone, internet, questions from subordinates, etc. In this electronic age of e-mail, PDAs and telephones (sometimes all on the same device) being “unplugged” can often be hard to come by. Very rarely do managers and leaders within a company have the ability to solely focus on one issue. We have become adept at multi-tasking. The clarity of mind which comes from focusing on only one particular issue can be refreshing.

Finally, develop a plan with clear action items. Too often we attend meetings where action items are not assigned, notes are not taken and little is accomplished but the wasting of another hour. Instead, create action items that are specific in nature and measurable in terms of successful completion. Then distribute meeting notes with these typed-out items to the committee. This will give you clear direction and help ensure everyone is on the same page. If someone is not taking care of his action item, then it will become obvious to the committee. The positive peer pressure from this will help make sure that every member is caring his own load.
