Since videoconferencing is different from an in-person meeting, there are several things that you should consider when preparing for your meeting.

  • Dress appropriately. Plain colored ties and shirts look the best on a video screen. Although white is commonly worn in professional meetings, you might want to consider another color because it does not look flattering on camera. Also, try to avoid horizontal stripes or busy patterns. Women also need to be aware of the amount of jewelry they wear due to the fact that it will cause a glare.
  • Give yourself enough time before the meeting to become familiar with the videoconference equipment. That way, if there is a malfunction during the meeting, you will be able to fix it immediately.
  • If you are going to incorporate video footage or use any sore of auxiliary equipment, give yourself enough time before the meeting begins to set it up. Make sure to test everything out to ensure that it will work when it comes time for your presentation.
  • If you are going to be showing hard copy graphics and will be working with a document camera, place a sheet of colored paper behind the graphic. This will make it easier to view.
  • Practice speaking into the video camera. It is important to remember that they can see you while you are talking. This means that you need to be sure and monitor your nonverbal communication while you are speaking.
