There are many types of businesses that, by their very existence, create tons of paper documents in a year. Medical offices, hospitals, insurance agencies, and legal firms are just a few examples. These types of businesses would need to have hundreds of acres of storage space if they kept every paper document in a file cabinet in order to be able to access that file in the future. One way to maintain the files they need without storing the actual papers is to create digital images and files of those papers, save them on a large capacity digital storage system, such as a tape drive. Through a data conversion service, these paper documents can be stored, but also accessed at the touch of a keyboard, and be searchable for a certain key word, such as a diagnosis code, physician’s name, or case file number. Through data conversion, the unwieldy paper files are not only stored in a smaller space, they are also made more accessible.

Other applications are more down to earth. Many of us have pictures filling shoe boxes or photo albums that we almost never look at because they are put away in a closet to protect them. After all, for most of those photos, it is the only copy in the world of that particular moment in time, capturing precious memories that we would be heart broken if it were to become damaged or lost. However, when that photo is scanned and stored on a computer hard drive or CD, that photo is no longer the only copy and that moment in time is now ultra sharable through web sites, digital photo printing, and even as email attachments. When it is scanned, the photo undergoes a digital metamorphosis that makes it more precious because it is no longer just sitting in a box in the closet.
